Controller and contact details

The controller responsible for the processing of personal data on this website is Dr. Egemen Bezci, trading as Aethernix (sole proprietorship), Zimmerstraße 3, 76137 Karlsruhe, Germany.

You can reach the controller by email at contact@aethernix.com or via the briefing and enquiry interface. Aethernix is the trading name; the legal operator is the natural person named above.

Website hosting and server logs

This website is hosted by Hetzner (Hetzner Online GmbH, Industriestraße 25, 91710 Gunzenhausen, Germany) on a server operated by the controller. When you visit the website, the hosting provider automatically processes connection data — such as your IP address, the date and time of the request, the page requested, browser and operating-system information and the referring address — in server log files.

This processing is necessary to deliver the website and to ensure its stability and security, for example to detect and prevent abuse. The legal basis is Article 6(1)(f) GDPR; the legitimate interest is the secure and reliable technical operation of the website.

Log data is retained according to the configured log rotation. We do not use log data for other purposes and do not keep separate copies.

AI-assisted briefing (preliminary discussion)

The briefing interface lets you describe a decision or workflow and receive an editable preliminary brief. The service runs as an application on the controller’s own server (Hetzner, Germany). Your description and the short conversation that follows are forwarded to an external AI provider, accessed through an OpenRouter-compatible gateway (currently the OpenRouter gateway, routing to a Qwen model, qwen3.8-max), in order to ask clarifying questions and prepare the preliminary brief. Replies are automated, marked as such and do not constitute professional advice.

You do not need an account, and no contact details are collected for the briefing itself. If you choose to share contact details inside the conversation, the assistant may transcribe them into visible form fields for your confirmation; they remain in your browser and are sent to us only when you explicitly submit the reviewed brief. Conversation sessions are stored in a database on the controller’s server and expire automatically after 30 minutes of inactivity. Conversations are not used by us to train AI models. The brief is transmitted to us only when you actively submit it with your contact details; copy and download take place in your browser and send nothing to us.

OpenRouter operates the gateway used here and processes the conversation on servers in the United States and other countries outside the European Economic Area and the United Kingdom. Transfers are safeguarded in accordance with Chapter V of the GDPR, relying on European Commission adequacy decisions (Article 45) and, where applicable, Standard Contractual Clauses (Article 46), as described in OpenRouter’s privacy policy. OpenRouter states in its privacy policy that it does not use inputs or outputs for model training, and a Data Processing Agreement is incorporated into its terms for commercial use. The upstream model provider (currently the provider of the Qwen models) processes the conversation under its own terms; whether and how it processes data for model training is governed by those terms and is currently being reviewed before production use. If you prefer not to use the AI-assisted path, you can write directly to contact@aethernix.com — this path is equivalent and does not involve the provider.

The briefing service applies technical protective measures: input length limits, rate limits, session expiry and duplicate-submission detection. The legal basis for the briefing is your consent (Article 6(1)(a) GDPR), which you give by actively choosing the AI-assisted path; you can withdraw it at any time by simply not using the service.

Enquiries via the website and by email

When you send an enquiry via the briefing interface or by email, we process the information you provide in order to respond to your enquiry and, where relevant, to prepare a potential engagement.

The review step asks for your email address and your confirmation that the information may be processed to handle the enquiry (both required); your name and organisation are optional. The reviewed brief is submitted together with these details. The conversation transcript is not attached and is not stored with the enquiry.

The legal basis is Article 6(1)(b) GDPR where your enquiry aims at entering into a contract, and otherwise Article 6(1)(f) GDPR; the legitimate interest is responding to enquiries directed at us.

The enquiry record is stored in a database on the controller’s server (Hetzner, Germany) and transmitted as an email via the hosting provider’s authenticated mail service to our mailbox. Your email address is placed in the Reply-To field so that replies reach you directly; the sender is a verified Aethernix address. Recipients are the hosting provider (as processor for transmission and storage) and the controller’s mailbox. Duplicate submissions are prevented by a technical identifier derived from the brief version.

We retain enquiry records for as long as needed to handle your enquiry and any resulting engagement, and thereafter in accordance with statutory retention obligations (for example under commercial or tax law).

Appointment booking

This website does not currently integrate a booking or scheduling service. If a scheduling link is offered in the future, it will open the external provider’s website only when you select it; no data is transmitted to that provider before you choose to use the service. In that case, the provider’s own privacy information applies.

Cookies, browser storage and external resources

This website uses no cookies and no persistent browser storage. Entries you make are kept only in the page you have open: the briefing conversation, the brief and your edits live in the page’s memory and are lost when you leave or reload it. A short description you start on the homepage is carried to the briefing page once and then deleted; it is not kept in your browser afterwards.

The site loads no external fonts, scripts, analytics or tracking services; all styles, scripts and fonts are served from this domain.

Links to external websites — for example the founder’s personal website, a university profile page or LinkedIn — are ordinary links. The respective provider processes your data only when you open such a link.

Recipients and international transfers

The personal data described in this notice is processed by the controller and, as processor, by the hosting provider Hetzner in Germany. The AI-assisted briefing described above additionally involves the external provider named there; its processing, including any transfer outside the EU/EEA, is described in that section. Beyond this, your data is not shared with third parties unless we are legally obliged to do so.

Retention and deletion

We process personal data only for as long as necessary for the purposes described in this notice. Server log data is retained for the duration of the configured log rotation. Briefing sessions expire automatically after 30 minutes of inactivity and are then deleted. Enquiry records are retained for as long as needed to handle the enquiry and any resulting engagement, subject to statutory retention obligations; afterwards they are deleted.

Your rights and complaints

Subject to the conditions of the GDPR, you have the right of access (Article 15), rectification (Article 16), erasure (Article 17), restriction of processing (Article 18) and data portability (Article 20).

Where processing is based on legitimate interests under Article 6(1)(f) GDPR, you may object at any time on grounds relating to your particular situation (Article 21 GDPR). Where processing is based on consent, you may withdraw that consent at any time with effect for the future (Article 7(3) GDPR).
